1. Who We Are

BenchBook.AI is operated by Velocity Venture Holdings, LLC, a Tennessee limited liability company. This policy describes how we collect, use, and protect information when you use the BenchBook.AI platform (“Service”) or visit the public BenchBook.AI site.

BenchBook.AI is not affiliated with, endorsed by, or approved by any court, the Tennessee Administrative Office of the Courts, the Department of Children's Services, or any other government agency.

2. Information Collected Through the Public Site

Waitlist Submissions: If you join the waitlist, we collect the email address and any name or court-role information you choose to provide, and we use it only to contact you about BenchBook.AI availability.

Demo and Contact Requests: If you request a demo or contact us, we receive the information you send, such as your email address and message content.

Site Logs: Standard server and edge logs, including IP addresses, browser type, and access times, collected for security monitoring and reliability.

3. Information Collected Through the Service

Account Information: Email address, name, and court affiliation provided during registration, where accounts are enabled.

Research Queries: Questions you submit through the research chat. These are stored to provide session history, enable multi-turn conversations, and show your personal research patterns.

Research Patterns: Aggregated, per-user analytics about the legal topics, statutes, and areas you research most frequently. This data is visible only to you.

Chat Feedback: Ratings and bookmarks you provide on responses, used to improve response quality.

Local Rules Status: Whether your court has optional local juvenile rules available. If local rules are later uploaded, they are treated as court-specific content and are not added to the statewide corpus by default.

Usage Data: Standard logs including IP addresses, browser type, and access times for security monitoring and service reliability.

4. Cookies and Analytics

The Service uses cookies needed for sign-in and session security where accounts are enabled. We do not use advertising cookies and we do not sell advertising.

No third-party analytics tooling currently runs on the public site. If analytics are added in the future, this policy will be updated to name them before they are enabled.

5. AI Processing (Anthropic Claude API)

Research queries are sent to Anthropic's Claude API for processing. When you submit a question, your query text and conversation history are transmitted to Anthropic's servers to generate a response. Anthropic processes this data according to their commercial API terms, which prohibit using API inputs for model training.

The legal corpus (Tennessee statutes, rules, and policies) is included as context with your query. No personal case data, party names, or case numbers should be included in queries. The Service is designed for legal reference work, not case management.

6. Data Storage

Service data is stored in Supabase (hosted on AWS in the US East region). Data is encrypted in transit (TLS 1.2+) and at rest (AES-256). Row-level security policies are used so that users can only access their own data.

We retain chat history and research patterns for the duration of an active subscription. Upon account deletion or subscription cancellation, account data is deleted within 30 days. Waitlist information is retained until you ask us to remove it or until the waitlist is closed.

7. No Real Case Data

BenchBook.AI is a legal reference tool, not a case management system. The Service does not store, process, or have access to:

  • Case files, docket entries, or court records
  • Names of parties, children, or families
  • Social Security numbers or other personally identifiable information of third parties
  • Sealed or confidential court documents

Users must not include real case details, party names, or identifying information in queries.

8. Security and Its Limits

While BenchBook.AI does not process Criminal Justice Information (CJI) as defined by the FBI's CJIS Security Policy, we maintain security practices aligned with CJIS principles:

  • Encryption in transit and at rest
  • Authentication required for all Service access
  • Per-user access controls with row-level security
  • Audit logging of authentication events
  • No storage of criminal justice records or case data

No system is perfectly secure. We cannot guarantee that unauthorized access, loss, or disclosure will never occur, and you should not submit information whose exposure would be harmful.

9. Data Sharing

We do not sell your personal information. We share data only with the service providers needed to run the product:

  • Anthropic - query text for AI processing (see Section 5)
  • Supabase/AWS - infrastructure hosting
  • Cloudflare - DNS, CDN, DDoS protection, and edge hosting

We may disclose information if required by law, court order, or to protect the rights and safety of our users and the public.

10. Your Rights

You may at any time:

  • Access and export your research history, where accounts are enabled
  • Delete individual chat sessions
  • Request complete account and data deletion
  • Request removal from the waitlist
  • Update your account information

To exercise these rights, use the contact method in Section 12.

11. Changes to This Policy

We may update this policy periodically. Material changes will be communicated to registered users. Continued use of the Service after changes constitutes acceptance of the updated policy.
